DOCUMENT CONTROLLER

Salary Range: RM4,000 - RM4,500

Responsible for providing day-to-day document control activities for project and for ensuring that project information is organized and are according to company, and project requirements

Job Description

Handle incoming mails i.e. correspondence, drawings, etc (sorting & recording).
Register (incoming fax and outgoing letters, update new client details & scan all incoming tender documents).
Responsible for the review of all quality documents and forms to ensure they are kept according to the prescribed procedures.
Administer the selection destruction of documentation in accordance with Document and Data Control procedure.
Manage and oversee works activities and compliance against environmental requirements and regulations.
Ensure that the appropriate environment codes of practice are followed (e.g.: Waste Management,etc.
Coordinate all activities related to the Document Control procedure, including technical documents, drawings and commercial correspondence.
Input document data into the standard registers ensuring that the information is accurate and up to date.
Generate the various document control reports as required
Make sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable
Maintain updated records of all approved documents and drawing and their distribution clearly.
Maintain the documents and drawings in the Documents Control office under safe custody without any damage or deterioration with easy traceability.
Maintain the files and control logs as required by the project.
To assist in ensuring all documentation activities are at procedures.

Requirements

Diploma, Vocational or SPM.
Minimum 2-3 years working experience in a similar position preferable in property or construction industry.
Familiar and knowledgeable in MS Office, including MS Excel, MS Word and MS Outlook.
Experienced and able to handle full set Document Control System (DCS) and Office Management.
Understanding of IMS.

TECHNICAL ASSISTANT

Salary Range: RM4,000 - RM4,500

Organizing administrative duties and activities including receiving and handling information for Contract Manager and support tender and procurement works

Job Description

To produce the shop drawings and details drawing for site construction purpose.
To manage and organizing the incoming & submission drawing list.
To produce the as built earth work drawing and work out the earthwork volume for claiming purpose.
To prepare and draft layout, building plans and other various plans, also carry out the tender contract and quotations on the various construction projects undertaken by the company.
To assist project monitoring, contract administration & documentation compilation.
To assist in progress claim and documentations of various construction projects.
Design Switchboard/Amend & Update drawings/Maintain updated records & As built drawings.
Understanding in engineering & technical drawing concept.
Any other duties and functions that may be assigned by the company.
Prepare and manage correspondence, reports and documents.
Arrange and confirm appointments for Project Manager.
Assisting Contract Manager and Senior Engineer on Tender and Procurement Work.

Requirements

Degree or Diploma in a related technical field.
Minimum 1-2 years working experience in a similar position preferable in property or construction industry.

Job Competencies

Experienced and able to handle full set of Software application, such as MS Word, Excel and PowerPoint.
Proficiency and accuracy in producing letters and controlling document.
Ability to maintain and establish effective working relationship within and outside of the organization.

ADMIN ASSISTANT

Salary Range: RM2,500 - RM3,500

Job Description

Assist in all clerical, administrative operation and document control activities.
Handling incoming mails i.e. correspondence, drawings, etc (sorting & recording).
Responsible for the quality review of all documents and forms to ensure they are kept according with the prescribed procedures.
Control issue and receipt of all documents and drawings by cataloging and indexing.
Conduct annual audit of documents to ensure they are updated and controlled.
Maintain and report any administrative issues to Head Office.
Receive visitors and offer refreshments. Immediately notify the persons the visitors are meeting with.
Responsible for answering all incoming telephone calls and transfer calls to the appropriate persons. Ensure all messages are delivered immediately.
Incoming documents: (Receive all incoming documents, Open and stamp receipt date on the documents, Scan all documents to be emailed to all intended recipients; and Pass original documents to Document Controller immediately.
Outgoing documents: Arrange dispatch/courier and record all outgoing documents.
Monitor site attendance of site staff and visitors. The site attendance report must be submitted daily to HRD.
Compile and record all staff claims.
Update, monitor and record workers Work Permit and CIDB Cards.
Manage and track assets as well as monitor usage of staff house at site.
Purchases: Liaise with Senior Admin Executive at HQ for all purchases. Prepare purchase orders and payment vouchers for all offices consumables as well as asset maintenance renewals, etc.
Maintain photocopiers, printers and fax machines to make sure they are working at all times.
Maintain pantry to ensure refreshments are available. Replenish items when low.
File all admin documents.
Monitor and remind all appointments and deadlines.
Any other duties and functions that may be assigned by the Company.

Requirements

LABORATORY ASSISTANT

Salary Range: RM2,500 - RM3,000

To assist all testing working on site and lab. To witness the entire test that is carried out and keeps and maintains all the record.

Job Description

To assist especially for filling testing working.
To assist work for aggregate test, ACV Test, Sieve Analysis Test Standard Compaction Test, CBR Test and other.
To assist record and preparation for daily activities and prepared at the result.
To assist for structure working, taking of samples for cube testing aggregate test, slump test and other.
Responsibility to perform testing job when assigned.
To do and keep daily result testing.
To report site matters and condition to clerk of works and are from time to time.
To ensure all failed testing to be re-tested.
To supervise sampling and testing at site and laboratory.

External Organization - Sub contractor and Client.

Job Competencies

Knowledge

Experience in construction industry.
All testing for concrete and soil.
Understanding of IMS.

Good in spoken and written in Bahasa Malaysia and English.
