Responsible for providing day-to-day document control activities for project and for ensuring that project information is organized and are according to company, and project requirements
Job Description
- Handle incoming mails i.e. correspondence, drawings, etc (sorting & recording).
- Register (incoming fax and outgoing letters, update new client details & scan all incoming tender documents).
- Responsible for the review of all quality documents and forms to ensure they are kept according to the prescribed procedures.
- Administer the selection destruction of documentation in accordance with Document and Data Control procedure.
- Manage and oversee works activities and compliance against environmental requirements and regulations.
- Ensure that the appropriate environment codes of practice are followed (e.g.: Waste Management,etc.
- Coordinate all activities related to the Document Control procedure, including technical documents, drawings and commercial correspondence.
- Input document data into the standard registers ensuring that the information is accurate and up to date.
- Generate the various document control reports as required
- Make sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable
- Maintain updated records of all approved documents and drawing and their distribution clearly.
- Maintain the documents and drawings in the Documents Control office under safe custody without any damage or deterioration with easy traceability.
- Maintain the files and control logs as required by the project.
- To assist in ensuring all documentation activities are at procedures.

- To produce the shop drawings and details drawing for site construction purpose.
- To manage and organizing the incoming & submission drawing list.

- To prepare and draft layout, building plans and other various plans, also carry out the tender contract and quotations on the various construction projects undertaken by the company.

ADMIN ASSISTANT

- Assist in all clerical, administrative operation and document control activities.
- Handling incoming mails i.e. correspondence, drawings, etc (sorting & recording).

- Control issue and receipt of all documents and drawings by cataloging and indexing.
- Conduct annual audit of documents to ensure they are updated and controlled.
- Maintain and report any administrative issues to Head Office.
- Receive visitors and offer refreshments. Immediately notify the persons the visitors are meeting with.
- Responsible for answering all incoming telephone calls and transfer calls to the appropriate persons. Ensure all messages are delivered immediately.
- Incoming documents: (Receive all incoming documents, Open and stamp receipt date on the documents, Scan all documents to be emailed to all intended recipients; and Pass original documents to Document Controller immediately.
- Outgoing documents: Arrange dispatch/courier and record all outgoing documents.
- Monitor site attendance of site staff and visitors. The site attendance report must be submitted daily to HRD.
- Compile and record all staff claims.
- Update, monitor and record workers Work Permit and CIDB Cards.
- Manage and track assets as well as monitor usage of staff house at site.
- Purchases: Liaise with Senior Admin Executive at HQ for all purchases. Prepare purchase orders and payment vouchers for all offices consumables as well as asset maintenance renewals, etc.
- Maintain photocopiers, printers and fax machines to make sure they are working at all times.
- Maintain pantry to ensure refreshments are available. Replenish items when low.
- File all admin documents.
- Monitor and remind all appointments and deadlines.
- Any other duties and functions that may be assigned by the Company.

LABORATORY ASSISTANT
Salary Range: RM2,500 - RM3,000
To assist all testing working on site and lab. To witness the entire test that is carried out and keeps and maintains all the record.
